What you are actually paying for
Beyond Outlook, Word and Excel, your subscription almost certainly includes Teams for calls and collaboration, OneDrive and SharePoint for secure file storage, and a suite of tools for sharing and working together. If your team still emails documents back and forth or saves everything to a local drive, you are paying for tools you are not using, and missing out on easier, safer ways of working.
Security settings worth turning on
- Multi-factor authentication on every account, so a stolen password alone is not enough to get in.
- Sensible sharing rules so files are not accidentally shared with the whole internet.
- Clear admin control over who can access what, and quick removal of access when someone leaves.
The big one: Microsoft 365 is not backed up
This surprises a lot of business owners. Microsoft keeps the service running, but it is not responsible for recovering data you delete, or files an attacker encrypts. If a member of staff deletes a mailbox or a folder and it ages out of the recycle bin, it can be gone for good. A dedicated 365 backup protects your email and files independently, and it is inexpensive insurance.
